Starting this month, I would like to introduce you to various virtual assistant tools that have served me well, offering in-depth reviews and practical usage tips and illustrating how they can enhance your small business operations.
In this feature, I’d like to spotlight the Debit Card System – Essentially a virtual debit card and an innovative approach to prepaid work.
I chose Stripe (a payment service provider) for this system, though alternatives like PayPal and your bank’s merchant services would also work.
The process involved creating payment links, in Stripe, for my hours and packages, connecting them to my website, and linking them to my business checking account. My website provides three links, each featuring different hour packages with prices.
Here’s a brief overview of how it works: when potential clients wish to purchase my services, they are directed to my website to select the number of hours they’d like to buy. Subsequently, new clients receive a receipt, and I, as the seller, am notified via email of the completed purchase.
As a Virtual Assistant, I promptly contact the new clients to schedule a call to discuss how I can best assist them.
Once the purchase is made and the discussion occurs, I employ a time-tracking tool (Toggl, which I’ll delve into in a future newsletter) to monitor the purchased hours.
Every Monday, I send clients a Time Tracking Email detailing the time utilized and the remaining hours on their Debit Card.
When there are approximately 30 minutes left, I send another email with a link for them to purchase additional hours if they would like to continue working together.
The Debit Card System has proven to be an incredibly effective and stress-free way of conducting business, providing substantial value to any enterprise.
